Privacy & Security
Your files, your rules — from fully offline operation to a zero-retention managed service.
What It Is
A clear statement of where your file content goes in each mode, and how credentials are protected.
How It Helps You
- Choose your comfort level — from 100% offline to managed convenience.
- Meet client-confidentiality and regulatory obligations while still automating.
- Know exactly what is stored where (short answer: your data stays yours).
Where Your Files Go
- Local AI or Heuristic mode: your files never leave your device — analysis, OCR and naming are all local.
- BYOK (Lifetime): content goes only to the provider you chose, over your own key. FilesDesk’s servers never see it.
- Subscription (managed): files are sent for processing but not stored — they are deleted immediately after processing.
Always On-Device
- OCR of text-heavy images (Apple Vision on macOS) runs before any upload.
- GPS reverse-geocoding uses OS location services — coordinates aren’t sent to FilesDesk.
- History, templates, rules and settings are local files under your user account.
- Renaming and organizing never alter file contents — EXIF and metadata are untouched.
Credentials
API keys live in the macOS Keychain or Windows Credential Manager — encrypted by the OS, never transmitted to FilesDesk’s servers.
Industries That Benefit

|---|---|
| Law firms | Attorney–client material can be processed with zero external transmission. |
| Healthcare | Local mode supports HIPAA-aligned workflows for patient documents. |
| Finance & accounting | Client records stay inside the firm’s chosen infrastructure. |
