Think about what actually lands in your inbox in a normal month. Software invoices. A bank statement, a card statement. The electricity bill. Payslips, if you're employed. Order receipts. A signed contract or two. Photos from your parents. Nearly all of it arrives as an attachment, and nearly none of it arrives with a name you'd choose.

Then your accountant asks for "all the invoices from Q3". So you search the inbox, open each message, download each file, rename it so you can tell them apart, and drag it into a folder. That's your evening gone, and you'll do the same thing again in three months.

This guide sets things up so attachments save themselves. Every PDF or photo that matches your rules lands in a folder on your computer, gets a name based on what's inside it, and ends up in the right place. It works with Gmail, iCloud, Yahoo, Fastmail, GMX, AOL, Proton and any other IMAP mailbox.

The Usual Ways to Save Email Attachments Automatically

Search for this and you'll find the same handful of answers. Each one gets the file out of the email. Very few do anything about the name, or where the file ends up.

Getting the file out is the easy bit. What makes a folder of attachments worth having is the name on each file and the folder it lands in, and that's exactly where most of these setups stop.

What "Fully Automatic" Should Actually Mean

A complete attachment workflow does four jobs, in this order:

  1. Capture. Pick out the right attachments from the right senders and ignore the noise: signature logos, tracking pixels, newsletter PDFs.
  2. Save. Write each one to a folder on your computer, once.
  3. Rename. Build the name from the content: date, vendor, document type, amount.
  4. File. Move it somewhere sensible, like Finance/Invoices/2026.

Set It Up in Six Steps

Step 1: Create an app password

FilesDesk connects with an app password: a separate password your email provider generates for one app. You never type your main password into FilesDesk, and you can revoke the app password whenever you like without touching anything else.

Using Outlook.com or Microsoft 365? Microsoft no longer accepts passwords for IMAP on these accounts and insists on OAuth sign-in. OAuth support is on the FilesDesk roadmap. Until it ships, a forwarding rule from Outlook to a supported mailbox does the job.

Step 2: Connect the inbox

Open the Automatic tab and choose Add Inbox. Pick your provider, enter your email address and paste the app password. The server, port and security settings fill themselves in. If you already send bills to their own folder or label, point FilesDesk at that instead of the whole inbox.

Step 3: Choose what to capture

This is the step that keeps newsletter PDFs, and the logo in everyone's email signature, off your disk. You can filter by:

Small inline images are skipped by default. They're almost always signature logos and tracking pixels.

Step 4: Decide how far back to look

Start with new mail only, backfill the last few months, or pick a specific start date. If you're pulling a year of invoices together for your accountant, set the start date to 1 January and let it work through the backlog.

Step 5: Pick a landing folder and a rename mode

Each inbox gets its own folder by default, FilesDesk Inbox/you@example.com inside your user folder, and you can change it to anywhere you like. Then decide what happens to the names:

Last, the duplicate policy. The same invoice often turns up twice, once as the original and once as a "friendly reminder". FilesDesk spots identical files by their content rather than their name, and you choose whether to skip, keep both, or replace.

Step 6: File it and keep it running

Add an Organize Flow to put renamed files where they belong: invoices into Finance/Invoices/{year}, statements into Finance/Statements, photos into Photos/{year}/{month}. There are ready-made rules for billing, receipts, statements, tax and contracts if you'd rather not start from scratch.

Then switch on Settings โ†’ Run on Startup. FilesDesk opens quietly in the system tray (the menu bar on a Mac) when you sign in, and checks every inbox every five minutes by default, without you ever opening the app.

Frequently Asked Questions

Can Gmail automatically save attachments to a folder on my computer?

Not by itself. Gmail filters can label, archive or forward a message, but they can't save the attachment anywhere. You need something else: a cloud automation, a script, or a desktop app like FilesDesk that connects over IMAP and saves the files locally.

Is it safe to give an app access to my email?

Use an app password instead of your main password, and pick a tool that only reads. FilesDesk never marks mail as read, moves it or deletes it, and revoking the app password in your provider's settings cuts off access straight away.

Will it download the same attachment twice?

No. Each inbox remembers which messages it has already handled, so restarts and dropped connections don't cause re-downloads. Identical files are detected by content, and you decide whether duplicates are skipped, kept or replaced.

Does it work with Outlook or Microsoft 365?

Not yet. Microsoft requires OAuth sign-in for IMAP on Outlook.com and Microsoft 365, and that's on the roadmap. Gmail, iCloud, Yahoo, Fastmail, GMX, AOL, Proton (through Bridge) and other IMAP mailboxes work today.

Which attachment types are saved?

PDFs and images, including JPG, PNG, HEIC, TIFF, WebP, GIF and BMP. You can capture PDFs only, images only, or both.

Does FilesDesk need to be open?

It checks inboxes while it's running. Turn on Run on Startup and it launches in the system tray (menu bar on Mac) when you sign in, so your inboxes keep working after every restart.

Can I save attachments from old emails?

Yes. Choose the last few months or a specific start date, and FilesDesk works through the backlog before moving on to new mail.

Are my attachments sent to an AI service?

Only if you choose a rename mode that uses a cloud AI provider. With rename set to Off, or with a local model through Ollama or LM Studio, the content stays on your computer.

The Bottom Line

Plenty of tools will copy attachments out of your inbox. Far fewer make them findable afterwards, and a folder full of invoice (7).pdf is just your inbox in a different place.
