If you're a lawyer handling discovery, a doctor dealing with patient records, a CPA with client financials, or anyone bound by NDAs, a cloud AI file renamer is a non-starter. The good news: on Apple Silicon Macs in 2026, you can run a fully offline AI file renamer that does everything the cloud tools do โ with zero uploads, zero API keys, and zero network traffic.
What "offline" really means
Three things must stay local for a file renamer to be truly offline:
- OCR / text extraction โ PDF and image text parsing on-device.
- AI inference โ the model that decides the filename runs on your Mac's silicon.
- No telemetry โ no file names, paths, or metadata leaving the machine.
FilesDesk's self-managed lifetime license meets all three.
The Ollama + FilesDesk setup
Step 1 โ Install Ollama
Ollama is a free, open-source local model runner for Mac. Download from ollama.com, install, and it runs as a local daemon on localhost:11434.
Step 2 โ Pull a vision-capable model
# Recommended for most users (3B params, fast, ~3GB RAM) ollama pull qwen2.5vl:3b # Better quality (7B params, ~6GB RAM) ollama pull qwen2.5vl:7b # Alternative: Llava ollama pull llava:13b
Step 3 โ Install FilesDesk (self-managed lifetime license)
Download FilesDesk for Mac. Purchase the $20 lifetime license โ this unlocks unlimited local AI use.
Step 4 โ Point FilesDesk at Ollama
In Settings โ AI Provider โ choose "Ollama (local)" โ endpoint stays at default http://localhost:11434 โ pick your model.
Step 5 โ Rename files with zero network
You can disable your Mac's Wi-Fi and FilesDesk will keep renaming. EXIF, OCR, vision AI, geocoding โ all on-device.
Verify with Little Snitch: Install Little Snitch and watch the network activity while FilesDesk runs. You'll see localhost:11434 traffic only. Nothing leaves the machine.
Hardware recommendations
- M1 / M2 MacBook Air (8GB RAM): qwen2.5vl:3b runs smoothly. 3โ5 files/second.
- M2 / M3 MacBook Pro (16GB+): qwen2.5vl:7b or llava:7b. Better quality. 2โ3 files/second.
- M3 Max / M4 Pro (32GB+): qwen2.5vl:32b or llava:34b. Near-cloud quality. 1 file/second.
- Mac Studio / Mac Pro: run the largest vision models available. Production-grade local AI.
Use cases where offline is the only option
Legal discovery
Privileged documents cannot be uploaded to a third-party cloud AI without risk. Offline renaming classifies and names discovery PDFs entirely on your Mac.
Medical records
HIPAA-protected patient data. Running inference locally on a Mac in the office avoids BAA complications entirely.
Financial auditing
Client bank statements, tax returns, internal audit work papers. Most engagement letters forbid cloud AI on unredacted files.
Government / defense
Classified, controlled-unclassified, and FOIA work can't touch commercial cloud AI.
NDAs
Product specs, roadmaps, pre-IPO financials, M&A materials. Default to offline.
Accuracy trade-off
Local models are noticeably less accurate than GPT-4o or Claude 3.5 Sonnet. On our 200-file mixed test corpus:
- Claude 3.5 Sonnet (cloud): 92% useful-name rate
- GPT-4o (cloud): 89.5%
- Ollama qwen2.5vl:7b (local): 79%
- Ollama qwen2.5vl:3b (local, smaller): 71%
For privacy-sensitive workflows, 79% with zero upload beats 92% with any upload. And local model quality keeps improving โ qwen2.5vl:32b in our testing approaches GPT-4o on well-lit scanned documents.

Does offline mode need Ollama running in the background?
Yes. Ollama needs to be running for FilesDesk to call its local API. Ollama launches a menu-bar app on Mac; it uses minimal CPU when idle.
Can I use LM Studio instead of Ollama?
Yes. Any OpenAI-compatible local endpoint works โ LM Studio, llama.cpp server, vLLM. Point FilesDesk's custom endpoint at http://localhost:<port>/v1.
How much disk space do local models take?
qwen2.5vl:3b is ~3GB. qwen2.5vl:7b is ~6GB. Llava:13b is ~8GB. Plan for 5โ10GB per model.
Does FilesDesk have telemetry?
The self-managed lifetime license can disable all telemetry in Settings โ Privacy. Verify with Little Snitch or Charles Proxy.
